The problem
Stump Hero relies on fast quote response, clear job details, and good follow-up. Like many local service businesses, their leads can come in from website forms, phone calls, photos, texts, and after-hours inquiries.
Customer side
After submitting the form, the customer saw an in-browser confirmation, but they did not receive an SMS or email confirming that Stump Hero had their request.
Admin side
Follow-up depended too much on checking email. If the admin responded late, sometimes close to the end of the 24-hour window, the lead could already be cold.
What this meant
If the admin waited too long, the customer could be left wondering whether the website delivered the form and whether anyone had seen it.
What we built
We kept the quote form as the starting point. From there, the workflow sends customer confirmations, pushes a visible SMS alert to the admin, saves the lead details, and keeps photo follow-up connected to the request.
Lead follow-up workflow
The website form captures the customer’s contact details, service address, stump details, notes, and photo when available.
The customer gets a short SMS confirmation right away, plus a detailed email confirming their submitted details and what to expect next.
The admin receives a new lead alert by text, making the request harder to miss than an email-only notification.
The request is routed into Google Sheets so the team can review the quote details, contact info, location, and photo in one place.
If a photo or extra detail is needed, SMS follow-up can collect it and keep it connected to the original request.
The outcome
The updated website and follow-up setup gave Stump Hero a clearer path from quote request to booked job, with customer confirmations and visible admin alerts built into the handoff.

By the start of the 2026 season, Stump Hero had already booked more jobs from website inquiries and website-driven calls than they did from the website in all of 2025.
